Whole-house clearance in Newhaven: what to prepare before booking

Who can say yes, what is staying, which council routes fit and how the van will reach the door. Settle those first and the quote, the day and the handover all go more smoothly.

Most whole-house clearances come with a date attached: a sale completing, a tenancy ending, keys going back to a landlord or a property needing to be ready for the next stage of an estate. The clearance itself is often the quickest part. The preparation is what decides whether the day runs to plan.

This guide works backwards from that date. It covers who should authorise the job, what to sort before anyone quotes, where the Lewes district council services fit, and the access details that matter in Newhaven. A shorter deadline is still workable. Compress the same steps rather than skipping them: confirm authority and the keep list first, then send photos, then sort access. Tell Lewis the deadline in the first message so the timing can be discussed at the quote stage rather than after it.

Confirm who can authorise the clearance

A clearance company can lift, load and dispose of contents. It cannot decide who owns them. Before booking, make sure the person asking for the job has the right to clear the property, and that anyone else with an interest has agreed.

After a death, the person dealing with the estate usually leads this. The GOV.UK Tell Us Once service reports a death to most government organisations in one go, including the local council for Council Tax Reduction, though banks, insurers and utilities still need contacting separately. Lewes District Council publishes its Council Tax exemptions; its Class F exemption covers a property left empty after the death of a sole occupier, until probate is granted. Check the current wording with the council for your situation rather than assuming it applies.

For a rental, the tenancy and any inventory decide what belongs to the landlord. Furniture supplied with the property is not the tenant's to dispose of, and items a tenant leaves behind may need handling under the tenancy terms. A landlord clearing a vacated property is also dealing with waste that is not ordinary household waste, which affects where it can lawfully go.

Sort what is staying, going elsewhere or going for good

Walk through each room with three groups in mind: kept, reused and removed. Kept items leave first, or are clearly labelled. Reused items need a named destination and a collection date. Everything else forms the clearance.

Give reuse a head start

Lewes District Council's bulky waste page lists free alternatives before its paid service: Freegle and Freecycle groups, and charities that will collect furniture on request, including Furniture Now, Age UK East Sussex, the British Heart Foundation and St Wilfrid's Hospice. The Newhaven household waste recycling site on New Road also runs a reuse shop, according to East Sussex County Council's site page. The site needs an advance booking, takes no trade waste, and only admits vans on Tuesdays, Thursdays and Saturdays. It suits a resident with a car load of accepted items, not the contents of a whole house.

Put aside what needs a separate route

Kitchens, sheds and garages often hold things a general clearance load should not contain: tins of paint, garden chemicals, gas bottles, fire extinguishers and car batteries. Keep them together and mention them when you ask for a quote. If you suspect asbestos, for example in old floor tiles or a garage roof, leave it undisturbed and get specialist advice before the clearance.

Where the council bulky waste service fits

Lewes District Council's bulky waste collection is for listed household items left at the front of a property. The council says plainly that it does not offer house clearances.

The published service charges £57 for one to five items and £88 for six to ten. Items must be easily accessible at the front of the property, out before 6am on the collection day, because crews cannot knock, collect from inside, from a garage or from the rear. The council's schedule lists Newhaven Town on Fridays and the Newhaven (C7) round on Mondays, alongside other Lewes district areas.

The exclusions matter for a whole house. The council will not take carpets and underlay, kitchen or bathroom units, sheds and fencing, soil, rubble, plasterboard or builders' bags with multiple items in them. For a few pieces of furniture you can carry out yourself, that service may be the simplest option. For a furnished house, a loft and a garden shed, it covers only part of the job. Parking and access in Newhaven

Newhaven properties range from town-centre terraces and flats to houses on the hill roads above the river, and the right vehicle depends on where it can stop. Describe the route from the front door to the nearest legal parking, including steps, steep paths, narrow hallways and any flats with shared stairs or a lift.

Where the van would otherwise have nowhere to stop, a parking bay suspension can help. East Sussex County Council's dispensations and suspensions page lists a residential suspension, for example for moving house, at £16 set up per 5.5 metre bay plus £2.25 per bay per day. Applications are considered individually, so apply well before the day and check the current terms. If a neighbour's driveway or a shared access will be affected, let them know too.

Photograph large items in place and note anything that came into the house in pieces. A wardrobe built in a bedroom may need dismantling to leave it. Do not move heavy furniture into the hallway to help: it can block the route and is not needed for a quote.

Agree the finish: cleared is not the same as cleaned

When people picture a cleared house, they often picture it clean as well. Those are different jobs. A clearance removes the agreed contents; cleaning, repairs and removing fitted units are separate tasks unless they have been specifically agreed.

For a sale or a tenancy handover, write down the standard you need: loose contents out, fitted items left in place, floors swept, or a full clean by a separate cleaner afterwards. If a landlord or agent will inspect the property, ask what they expect and share it when you request the quote.

What to send with the enquiry

A useful photo quote depends on what the photos show. Send:

  • The Newhaven postcode and the type of property: house, bungalow or flat, and which floor.
  • Photos of every room, including inside cupboards, the loft, garage, shed and garden.
  • The keep list, or a note that kept items are already out or labelled.
  • Anything awkward: very heavy items, built-in furniture, paint, chemicals or gas bottles.
  • Parking and access details, including steps and the distance from the van.

Lewes District Council's own bulky waste guidance reminds residents that they have a legal duty to make sure their waste is properly disposed of, and that using an unlicensed carrier could be an offence. Check any company against the Environment Agency public register and keep the receipt.
